How to plan and conduct a safety inspection

From checklists to action plan tracking with assigned responsibilities and deadlines, the Safety Inspections module allows you to plan, execute, and monitor preventive inspections and regulatory reviews. Each inspection automatically generates an action plan outlining any non-conformities detected, ensuring that findings are translated into traceable corrective actions.

How to access the module

Access from the Sabentis side menu → Safety Inspections. Direct URL: https://prime.sabentis.com/fuse/home/inspections. From the dashboard you will see the cards for the different types of inspections available.

Types of inspection at Sabentis

The module distinguishes four types:

📋

Generic inspections

Customized inspections on any aspect of safety, based on questionnaires configured by your organization.

🔧

Specific inspections

Linked to a specific material agent: a machine, a vehicle, an installation.

📜

Regulatory reviews

Periodic inspections with legal requirements: fire extinguishers, electrical installations, boilers. Based on predefined regulations.

🏭

Specific regulatory reviews

Regulatory reviews associated with specific material agents of your organization.

The two-phase flow: maintenance and execution

Sabentis separates the design of the operation into two phases:

⚙️

Maintenance

This is where the questionnaires are designed: what questions to ask, what measures are associated with each negative response, and what regulations apply. It’s a reusable template.

▶️

Planning and execution

Here, that template is used for an actual inspection: where, when, who does it, and what was found.

📌 RememberIf you can’t find the inspection you need when creating a new one, check that it’s enabled inInspection maintenance.

Step 1 — Create the inspection

  1. Access the corresponding inspection type (generic, specific, regulatory).
  2. Click New inspection.
  3. Fill in the required information: name, location type and physical location, person responsible for the assessment, start and end dates, type (planned or unplanned) and business division if applicable.
  4. Save — the work tabs are activated.

Step 2 — Answer the questionnaire

  1. Go to the Questionnaire Assessment tab.
  2. Answer each question — you can save partially and continue later.
  3. For each question, you can attach files as evidence.
  4. When you’re finished, press Finish.
⚠️ ImportantOnce the questionnaire is submitted, it cannot be edited. Please ensure you have answered all questions before submitting.

At the end, Sabentis automatically generates the action plan with all the non-conformities detected according to the responses.

Step 3 — Manage the action plan

  1. Go to the Action Plan tab.
  2. You will see the list of non-conformities generated.
  3. For each nonconformity you can: change its status (open / closed), add corrective actions with responsible party and date, notify those responsible by email using the Notify those responsible button, and attach evidence of correction.

The states that each measure goes through are: pending definition → pending planning → pending approval → pending implementation → closed.

Step 4 — Close the inspection

When all the actions in the plan are in the Closed state, the Finish button is activated on the Summary tab. Upon completion, you can add conclusions, and the inspection status changes from Open to Closed.

From the Documents tab, you can generate the inspection report in PDF or Word format. The report is also available in the document repository.

AI-powered inspections

✨ NewSabentis incorporates AI-powered visual analysis during inspections. Users can upload an image of the inspected environment, and the system automatically analyzes the visible conditions, suggesting findings and actions that can be directly integrated into the questionnaire and risk assessment.

Frequently Asked Questions

Can I schedule multiple inspections at once?
Yes. Using the bulk upload function, you can import multiple inspections with their locations, dates, and responsible parties from an Excel template.
What is the difference between a generic inspection and a specific one?
The generic one applies to a physical location (a center, an area). The specific one is linked to a concrete material agent: a machine, a vehicle, or a specific facility.
Are corrective measures linked to risk assessment?
Inspection measures are managed from the inspections module. If you want to link them to the risk assessment, you can do so manually from the IER/IPER module by adding the corresponding measures.
Can I create my own inspection questionnaires?
Yes. From Inspection Maintenance you can create custom questionnaires with your own questions, associated measures and reference regulations.
